The Assistant Project Manager works in a team environment with a Project Manager and Superintendents on projects of various sizes. At Outside The Box, an Assistant Project Manager will receive the training to ultimately become a Project Manager, if desired.

SUMMARY: Responsible to provide the Project Manager with the assistance required to attain or exceed the project operating income, project execution plan, and customer satisfaction goals. Day-to-day activities include, but are not limited to, job costing, estimating, billings, labor-management, and tracking, enhancing customer relationships, scheduling and purchasing responsibilities.

ESSENTIAL FUNCTIONS:

  • Assisting in maintaining control of project documentation, fieldwork layout, and various job site administrative functions.
  • Assist in the development and updating of the planning, scheduling, and labor performance reports for the project(s).
  • Maintains control of the change orders and the tracking and reporting of additional work orders.
  • Assists with material procurement, working with subcontractors and suppliers.
  • Works under the direction of the Project Manager(s), as assigned by the Sr. Project Manager or Operations Manager.
  • Supports other department personnel as necessary and other responsibilities not outlined herein.
  • Daily Photo Documentation - track project progress through daily photos. 
  • Estimating - Set-up estimate form for population by the PM’s.
  • Creation of ROM estimates for select projects with oversight by the PM.
  • Bidding - Work with the Project Managers to ensure appropriate subcontractor coverage is obtained on every bid. Assist the Project Manager to identify the sub-trades required for a bid, and selecting of the subcontractors that will be invited to bid.
  • Process Submittals - Request material submittal from a subcontractor- Perform the review to ensure compliance with the construction drawings and specifications.
  • Track, Distribute, and Log RFIs - Manage, distribute and track RFI’s. Create change order summaries capturing all the costs associated with an RFI response. Present to the Project Manager for review and approval.
  • Construction Document Processing - Manage plans- Ordering, organizing, superseding and distributing drawings and specifications.
  • Schedule Update and Verification - Perform a weekly walk on-site, as coordinated with the Project Manager, and verify the overall status of the project as well as a safety inspection.
  • Master project schedule and a 3 week look ahead - Ability to create and maintain the master project schedule. The schedule will have inter-dependencies and links so that there is a clear and defined critical path.
  • Meeting Minutes - Participate in the weekly Owner/Client meetings or conference calls and memorialize all discussions, decisions and action items.
  • Maintain and issue the weekly meeting minutes, RFI and Submittal log throughout the life cycle of the project.
  • Owner Billing - Creation of “Pencil” billings for PM review and approval.
  • Permits - Manage, track and maintain all permits necessary to perform the work, including bonds.


KNOWLEDGE, SKILLS, & ABILITIES:

Required Experience and Education:

  • Skilled with Microsoft Office Suite, Experience with RedTeam and/or ProCore a plus. Excellent skills in Excel, Word, and Outlook are required. Must be computer adept, with familiarity with computerized accounting systems, and other software such as Primavera, estimating programs, MS Project, Access, and Excel.
  • Bachelor’s degree in Construction Management or, an Associate's Degree and 2+ yrs of related industry or Project Controls experience, or 5 yrs of related industry experience may be a substitute for degree requirements. Previous work experience in federal construction is a plus.
  • Must be a good communicator both written and verbal.
  • Must have demonstrated analytical problem-solving skills, ability to interface effectively with the owner and/or client.
  • Must have great attention to detail, team player and possess solid communication skills with the ability to communicate with all levels within the organization.
  • Must be a “Team” player and be willing to do what is necessary to ensure the project is successful.
  • Candidates must have a valid Driver's License and a clean driving record. All final candidates will be subject to a Fitness for Duty Test, Drug Screen, Motor Vehicle Report, and a Criminal Background Check prior to hiring.

WORK ENVIRONMENT:

Various construction projects using a variety of construction systems, in different environments and regional area. Work will consist of, but not be limited to general and specialized construction including new construction, interior/exterior renovations/rehabilitations, tenant improvements and system upgrades.
